The clause that decides who buys the label is the one that costs money, so it goes in writing before anyone ships anything.

The four clauses that move money
- Window. Count from delivery rather than from the order date. Delivery is a fact a carrier records; order date is a fact your buyer will argue about.
- Condition. Say what unsold looks like in your category. For apparel that usually means tags attached; for tools it usually means the case and the manual came back too.
- Postage. This is the clause with a price attached. Pick one of three: you buy the label, the buyer buys it, or you buy it and net the cost out of the refund.
- Refund timing. Promise a count of business days that starts when the parcel is scanned back into your hands, not when the buyer says they dropped it off.
Square brackets are decisions, not decoration. A policy that leaves the postage clause vague gets argued out one inbox message at a time.
What large retailers actually publish
Before setting a number, it helps to see the numbers your buyer has been trained on. Five policies, each read on its own site on 2026-07-28.

Two patterns are worth copying. One, the window is counted in whole months so buyers can hold it in their heads. Two, three of the five charge for return postage in at least one situation, which means a paid return clause will not read as unusual to your customers.
Putting a number in the deduction clause
If you go with option C and deduct a flat amount, that amount should come from a quote rather than a guess. Here is the same 3 lb shoe box coming back to a Newark, NJ address from three cities, priced through the SMKlog calculator on 2026-07-28 at the full checkout amount.

The spread across the country on that box was $2.56 on quote day. A single flat deduction is simpler to publish than a table, so most sellers set it near the top of their own range and absorb the difference on nearby returns. Whatever you print, print the date you priced it and revisit it when carriers file new rates.
Match the marketplace before you write
Selling through a marketplace means its rules sit above yours. eBay's Money Back Guarantee, for one, assigns return shipping to the seller when an item does not match the listing, whatever your own policy says. Write yours to fill the gaps a platform leaves rather than to contradict it.
Say what happens to outbound postage
Most of the disputes we hear about are not about the item price. They are about whether the original delivery charge comes back. One sentence settles that permanently, and either answer is defensible as long as it was printed before the sale.

How long should my return window be?
Long enough to look normal next to the stores your buyer already uses, short enough that you are not holding stale stock. Read on 2026-07-28, Walmart and Target both publish 90 days for most items, Temu publishes 90 days from purchase with exceptions, Macy's publishes 30 days, and Best Buy publishes 15 days for most products and 60 for its paid membership tiers.
Who should pay for return postage?
That is your call and it belongs in writing before the first order ships. Three of the five retailers we read on 2026-07-28 charge the shopper in at least one situation, so a paid return clause is not out of step. The exception most sellers carve out is a return caused by their own error, where the seller pays.
What should the deduction amount be?
Quote it rather than guess it. On 2026-07-28 a 13 x 8 x 5 in box at 3 lb going back to Newark, NJ quoted $8.48 from Atlanta, $8.48 from Chicago and $11.04 from Los Angeles, all USPS Ground Advantage at the full checkout price.
